Little Tulip — Audio Guest Book Terms & Conditions

13. Agreement

By paying your deposit, you confirm that you have read, understood, and agreed to these Terms & Conditions.

Little Tulip respects your privacy and will not share your personal details or recordings with any third party, except as required by law or as permitted under clause 8.3 (promotional use). All client information is handled in accordance with the Australian Privacy Act 1988.

12. Confidentiality & Privacy

10.1 Limit of liability

Little Tulip's maximum liability under these T&Cs is limited to the total amount paid by the Customer for the service.

10.2 Audio quality

Little Tulip cannot guarantee the audio quality of voice messages, as this is affected by factors outside our control (refer to clause 6.5).

10.3 Equipment failure

In the unlikely event of equipment failure during the Hire Period, the Customer must contact Little Tulip immediately. Where possible, Little Tulip will provide troubleshooting support. If the equipment cannot be made to work due to a fault not caused by the Customer, a partial or full refund may be issued at Little Tulip's discretion.

10.4 No guarantee of recordings

Little Tulip cannot guarantee that all guests will leave messages, or that any specific number of recordings will be captured. The audio guest book is a hire product — the Customer is responsible for encouraging guests to use it.

10. Liability

In the event of unforeseen circumstances beyond either party's control — including illness, family emergency, natural disasters, or other significant events — Little Tulip may pause or delay the project. Refunds, alternative arrangements, or extended timelines will be considered case-by-case in good faith.

11. Force Majeure

9.1 Cancellation by Customer

  • Cancellation more than 14 days prior to the event date: deposit retained (non-refundable).

  • Cancellation 14 to 8 days prior to the event date: 50% of total booking fees forfeited.

  • Cancellation 7 days or less prior to the event date: 100% of total booking fees forfeited.

Cancellation fees are at the discretion of Little Tulip.

9.2 Change of date

A change of date is welcome subject to availability and will incur a $50 admin fee. Change of date requests must be made at least 14 days before the original event date.

9.3 Cancellation by Little Tulip

In the unlikely event that Little Tulip needs to cancel your booking, your full payment (including deposit) will be refunded.

9. Cancellation, Postponement & Refunds

8.1 Delivery of recordings

All recordings captured during the Hire Period will be sent to the Customer via a Google Drive link within 48 hours of phone retrieval.

8.2 Keepsake USB

Customers can purchase an optional personalised keepsake USB containing all recordings for an additional $25, payable at the time of booking or before the event date.

8.3 Copyright and content use

All copyright in the recorded content is shared between Little Tulip and the Customer. Both parties have the right to reproduce the content.

The Customer agrees that Little Tulip may use snippets of the content for promotional purposes (e.g. on social media, marketing, portfolio) unless the Customer specifies otherwise in writing prior to the Hire Period.

8.4 Storage of recordings

Little Tulip will retain copies of the recordings for 30 days after delivery. After this period, recordings will be permanently deleted from Little Tulip's storage. It is the Customer's responsibility to download and save their recordings within this period.

8. Recordings & Delivery

7.1 Liability for loss or damage

The Customer is liable for any loss or damage to the rented equipment beyond reasonable wear and tear. Little Tulip reserves the right to determine what constitutes reasonable wear and tear.

7.2 Replacement fees

If the rented equipment is lost, damaged beyond repair, or not returned in working condition, the Customer will be charged a replacement fee. The replacement fee will be determined at Little Tulip's discretion, based on the cost of replacing the equipment. The Customer will be invoiced within 7 business days of the equipment's return (or scheduled return date).

7.3 Repair costs

If the rented equipment is damaged but repairable, the Customer will be charged the full cost of repair.

7. Damage, Loss & Replacement

6.1 Care and condition

The Customer agrees to use the rented equipment with care and diligence, and to return it in a clean and tidy condition. All items included with the rented equipment must be returned in full working order.

6.2 No alteration

The Customer agrees not to disassemble, alter, or modify the rented equipment in any way.

6.3 No recordings removed

The Customer agrees not to remove or download any recorded content directly from the rented equipment. All recordings will be provided to the Customer by Little Tulip after the event (refer to clause 8).

6.4 Improper use

The Customer agrees to accept responsibility for any errors, damage, or losses arising from improper use of the equipment outside what is described in the Hire Guide provided with the rented equipment.

6.5 External factors

The Customer agrees to accept responsibility for external factors that may affect the audio quality of voice messages, including but not limited to background noise, ambient music, the Customer's chosen environment, and guest behaviour.

6.6 Pre-hire condition

Little Tulip will clean and inspect all rented equipment prior to delivery or postage to ensure no damage is evident. The Customer agrees that reasonable cosmetic flaws are acceptable due to the regular hire nature of the equipment.

6. Use of the Rented Equipment

5. Delivery, Pickup & Postage

5.1 Local delivery

For events within a 30-minute drive of Albury/Wodonga, Little Tulip will personally deliver and set up the audio guest book on the day of the event, and collect it the following morning. Local delivery is included at no additional cost.

5.2 Delivery outside the local area

For events more than 30 minutes from Albury/Wodonga, a delivery fee of $0.99 per km (round trip) will apply, where Little Tulip is able to personally deliver and collect.

5.3 Postage

For events outside Little Tulip's local delivery area, the audio guest book will be sent via trackable Australia Post Express Parcel and is scheduled to arrive approximately 7 days before your event date.

  • A flat fee of $55 covers send postage, return postage, tracking, and insurance.

  • A pre-paid return label will be included in the package.

  • The Customer is responsible for dropping off the audio guest book at any Australia Post location within 2 business days of the event date.

  • Little Tulip is not responsible for any delays caused by Australia Post or external couriers.

5.4 Failure to return

If the rented equipment is not returned within the specified return period, the Customer will be considered in breach of these T&Cs and may be invoiced the full replacement cost of the equipment (refer to clause 7.2).

Little Tulip is a one-woman business run alongside a full-time role. I aim to respond to all messages within 2 business days during the week. Messages received over the weekend will be responded to by the following Tuesday at the latest.

Please use email as your primary form of communication, as this allows me to keep a clear record of all conversations and changes.

3.1 Securing your booking

To secure your booking, a non-refundable 50% deposit is required, along with a signed copy of these T&Cs. Bookings are not confirmed until both have been received.

3.2 Final payment

The remaining 50% balance is due at least 14 days before your event date. Your audio guest book will not be delivered or posted until full payment has been received.

3.3 Payment method

All payments are made via direct bank transfer. Bank details will be provided on your invoice.

3.4 Booking lead time

The audio guest book is best booked at least 2 months in advance to guarantee availability. Bookings made closer to your event date may still be accommodated subject to availability — just get in touch and we'll see what's possible.

  • "Customer" refers to the person who has booked the audio guest book hire.

  • "Rented equipment" refers to the audio guest book phone and all accessories provided by Little Tulip for the hire period.

  • "Hire Period" refers to the agreed duration from delivery/postage to return of the equipment.

  • "Event" refers to the date and occasion the audio guest book is being used for.
